'Brainwave Online' Video Assessment Guardian Consent 

Please read the information below carefully. Once you are happy that a video assessment will be a good way of supporting your child please download and complete this form and return the form via email. 

The platform

Brainwave is now offering a new service called ‘Brainwave Online’. This service delivers online therapy assessments using the secure video conferencing platform ‘medio.link’. We have chosen this platform to ensure the best possible privacy and security to safeguard your child and family, and to ensure we are complying with best practice. 

Medio.link is fully compliant with current data protection legislation (GDPR) and Health and Social Care Network (HSCN) requirements.  It is used by the National Health Service (NHS) and meets the high standards of the NHS Data and Security Toolkit. It is used to handle sensitive NHS data with the highest level of security.

Video calls are accessed via an email or text message invitation link which requires a name and password to start the call. The video calls are not digitally recorded but therapists will include discussions in their written clinical notes.

What you’ll need

In order to complete the video assessment, you will need:

  • a computer/ laptop/ iPad/ tablet with a camera that is connected to the internet. You can access via mobile phone, but this is not ideal due to screen size and image quality.
  • a reliable internet connection.

Please ensure your device has had all the latest software updates and up-to-date antivirus software installed. It would be best to find a quiet room or space, with room for toys and equipment, to carry out activities.


To prepare for the assessment, the therapist will ask that you send in video footage of your child completing all of their current Therapy Programme, when safe to do so, prior to the assessment day (additional clips may be requested by your therapist). Unless requested otherwise, these video clips will then be stored securely on Brainwave’s servers for use at future assessments. Therapists may also send you videos and resources for the session, please make sure you look at the resources and have them to hand.

Potential risks

There are potential risks involving technology, including but not limited to:

  • internet interruptions, 
  • unauthorized access,
  • technical difficulties and
  • service interruption.

We have made every effort to ensure that the software we use is secure and requires a secure pin number, a verified email address and that login access has a limited lifespan. However, we cannot guarantee that services will be available or work as expected. You are responsible for information security on your own devices and in your home / location.


Although exercises will be carefully guided by our trained and qualified therapists, there are limitations to online therapy. We ask that when taking part in assessments and when carrying out the Therapy Programme before or after assessments, that families take additional care and stop immediately if:

  • Your child is unwell
  • You are unsure of instructions
  • You feel that an exercise is unsafe for you or your child
  • Or, your child appears to be in particular discomfort or distress

You will be able to contact our therapists for ongoing advice.      

Online therapy will not be suitable for some children and the decision to withdraw from or to not offer online therapy will be at the discretion of the therapist.

After the assessment

Following the assessment, therapists will send a letter to you and at least one named professional involved in their care.
